2023 AADOCR/CADR Annual Meeting Registration

• Accompanying Persons Information

  Accompanying persons are non-dentists, non-researchers, non-IADR members who may be traveling with a meeting delegate and who have no scientific or educational interest in the meeting. Meeting delegates' students, lab technicians, colleagues, past IADR members, co-authors, exhibitor personnel, dental product company employees, etc., do not qualify as accompanying persons and are required to pay the appropriate registration fee if they wish to attend. Accompanying persons are not eligible to earn continuing education credits and will not receive a certificate of attendance for the meeting. 

  If your accompanying person wishes to hear your presentation, he or she must register and pay the $70 fee and receive a special color-coded ribbon on site. The ribbon will admit an accompanying person for one day of the meeting only and will not be honored at any other time during the meeting. Anyone who wishes to attend more than one day of the meeting is considered to have more than a "personal" interest in dental research and will be required to pay the appropriate fee.

• Online Registration Safety

  AADOCR/CADR Annual Meeting registration do not solicit. Tech-savvy scammers create fake reservations and websites that look legitimate. If you book through these sites, you run the risk of arriving and not having a registration and may jeopardize your personal information. Make sure you are starting from an aadocr.org webpage when you begin registration. Never book from an email that does not come from an aadocr.org or iadr.org email address or our housing company email address: aadocrhotels@expovision.com.

  If you book a hotel through our housing site, the hotel reservation confirmation will be sent from Expovision: The AADOCR Hotel Reservation Office info@cvent.com.

  Unless you have initiated the communication, please do not provide anyone with your personal information, especially your credit card number.

Refund, Cancellation, and Substitution Policy

• Cancellation Policy

  All registrations are subject to the cancellation policy. Cancellations must be made in the online request form by the deadline date of February 1, 2023; telephone cancellations will NOT be accepted. Refunds or credits will not be given for failure to attend events. Refunds will be processed no later than 8-10 weeks after the meeting.

  DEADLINE DATE: February 1, 2023.
  On or before February 1, 2023: Refund less $50 USD cancellation fee.

  Note that no refunds will be issued for additional fees paid for express shipping of invitation letters for registration cancellation due to visa denial or government-imposed travel restrictions.

  All refund requests must be completed through the following form:

  If you are unable to attend the meeting because you were denied a visa, you will be granted a refund only if you submit a copy of your visa rejection letter and proof that you applied for a visa no later than two weeks after abstract notification letters are sent (approximately December 15, 2022). Non-presenters are encouraged to apply for a visa as soon as possible, but also no later than two weeks after abstract notification letters are sent. If you meet these conditions, a refund will be issued less the cancellation fee above. Please note that no refunds will be issued for additional fees paid for express shipping of invitation letters and/or Accompanying Person registration cancellation due to visa denial.
  
  If you need to cancel your event tickets (including Focused Learning Sessions, Meet-a-Mentor, Hands-on Workshops, or Symposia),  registration for the AADOCR Faculty Development Workshop, and/or Accompanying Person registration, a full refund is available until February 1, 2023. 

  Without exception, all valid requests for refunds must be received in writing no later than 15 days after the end of the meeting.

  In the event the in-person components of the meeting cannot be held, all registrations will be for virtual attendance and will not be eligible for a refund. 

• Refund Policy

  Refunds will be processed no later than 8 weeks after the meeting. Refunds of $30 or less will be treated as a contribution and will not be refunded. Refunds due to overpayment or changes to an existing registration (such as from non-member to member rates) will be subject to a $20 processing fee. Express shipping fees for invitation letters are non-refundable. No refunds of less than $100 will be issued by wire transfer. If a refund by wire transfer is requested, please contact the IADR Global Headquarters for additional information and fees.

• Substitution Policy

  AADOCR does not allow meeting registration substitutions. Registration fees may not be transferred to another person. Anyone unable to attend the meeting after having paid must cancel his/her registration. The new registrant must then register separately and pay the appropriate registration fee. If you are a presenter substitution, the same policy applies. The original presenter must register for the meeting and then cancel (refund amount less processing fee will depend on when the cancellation occurs) before the substitution can be processed. The new presenter must then register and pay the applicable rate.

• Financial Disclaimer

  AADOCR reserves the right to review each registration for the appropriateness of the selected registration category and make any necessary corrections. For example, a full-time faculty member that chooses the Accompanying Person or Student rate will be corrected upon review. AADOCR reserves the right to charge his/her credit card the difference in registration fees.

• COVID-19 Information

  Masks
  The CDC recommends wearing a high-quality mask or respirator when the community level of COVID-19 is high.  Currently (01/04/2023), Multnomah County, which includes Portland, has a low community level.  However, the CDC further states that people may choose to wear a mask at any time to protect yourself and others.  Masks are recommended on public transportation.  Community transmission in Multnomah County is substantial (01/04/2022).

  As Annual Meeting attendees will be arriving from regions all over United States, Canada, and other Countries, including regions with high community levels and high community transmission, the AADOCR strongly recommends the use of high-quality masks at all events.
   

• Proof of COVID-19 Vaccination

  AADOCR/CADR are partnering with a third-party company to verify vaccination status and to ensure that privacy protocols are implemented throughout the verification process. Please go to Safe Pass page to upload your vaccine verification. • Photo Release

  The IADR/AADOCR reserves the right to photograph, videotape, and otherwise capture events and participants of the 2023 AADOCR/CADR Annual Meeting & Exhibition for unrestricted, nonexclusive, perpetual use in all media and forms of communication whether now existing or hereafter developed. By attending the Annual Meeting, you acknowledge and agree that IADR/AADOCR may use such images and recordings without your written permission or paying you compensation, and you permanently release IADR/AADOCR, and their respective successors and assigns, from any and all claims and liability arising from or relating to the making and use of such images and recordings.
